VOLUNTEER JOB DESCRIPTIONS

Administration 

Office Assistants (JCC)

Assist the Maccabi Central team in the office the week of the games. Assist with office duties such as copies, phone calls, filing, credential and t-shirt handout.


Arrivals

Bus Greeters (JCC and airports)

  • Greet Delegation Head at JCC and ride bus to airport to meet delegation upon arrival
  • Meet and greet delegations at airport and lead them through the arrivals process to load buses back to JCC
  • Communicate with Arrivals team by phone with estimated arrival times
  • Ride bus to JCC with delegations. Welcome them and show orientation video
  • Hand off delegation at JCC to staff to complete orientation process

Host Family Arrivals helper (JCC)

  • Greet and check in Host families upon arrival to JCC
  • Direct Host Families to athlete pick up areas
  • Contact host families if needed

Athletics

Assistant Sport Commissioners (various sport venues in Irvine and Tustin):

Work with Sports Commissioners to facilitate the smooth running of  athletic competition throughout the week

Includes overseeing fields/courts in the following ways:

  • Athlete/ Team check-in.
  • Ensure all necessary equipment is available prior to and during the Games.
  • Prepare fields/courts for play
  • Collect equipment to be stored safely overnight.
  • Ensure that venue is clean at the end of the day.
  • Ensure proper paperwork for medical clearances.
  • Ensure proper paperwork for score reporting and call in scores to hub

Assistant to the Sport Commissioner or Venue Director (various sport venues in Irvine and Tustin)

  • Help with set up and clean up, signage, runner, water/ice replenishment, score reporting

Dance (University HS, Irvine)

  • Stage Manager: Keep order, assist dancers to prepare for their performance, check costumes, and manage Lost & Found.
  • House Manager: Restrict entry during competition, check credentials and ensure aisles remain clear.
  • Dance Assistants: Assist Dance Commissioners in any tasks needed including athlete check in, set up and clean up, signage, medal ceremony assistance
  • Results Tabulator and Timekeeper: Maintain and tabulate scores and maintain times for each dancer.
  • Announcer: Act as MC for the competition, announcing athlete/ artist performances and results. Overseeing announcements of running order

Swimming (JCC)

  • Runner: Collect times after each event and bring to official scorers.
  • Check In/Admin: Check in swimmers and help track swim times
  • Timers: Use hand-held timer for swimming events if no electronic system.
  • Announcer: MC swim meet – announce lineups, results and medal awards

Track & Field (University HS)

  • Track and Field Assistant: Maintain and record scores, Assist on events as measurers, referees, starters etc.

JCC Cares (JCC, UCI ARC, MSC)

Assist with the JCC Cares community service event(s) to ensure safety, productivity and smooth operations.

Group facilitators/chaperones:

Assist project leader, supervise kids and help implement the community service program. Help with set up and clean up.


Evening Events (Monday Aug 6 at Boomers/Irvine Lanes, Tuesday Aug 7 at Newport Dunes and Thursday Aug 9, Closing Party at TVT)

Assist with evening activities to ensure safe, fun and well run event.

Evening Event Helper

Assist with operation of the entire event and overseeing the teen’s activities.

Duties may include:

  • Making and handing out snacks and cotton candy, popcorn, snow cones, mocktails.
  • Replenishing snack tables
  • Supervising a game, activity or inflatable
  • Supervising the dance floor area
  • Greeting participants
  • Line control
  • Directing teens to designated pick up areas at end of the evening

Food

Arrivals Snack Distribution (JCC)

  • Greet athletes and coaches at distribution tables
  • Assist athletes and coaches to get their JCC Maccabi welcome bags, snacks and tshirts
  • Replenish supplies on the distribution tables

Breakfast Helper (Hotel Irvine)

Assist with set up and serving food at the Coaches Hotel each morning

Lunch server (MSC, Anaheim ICE, JCC)

  • Serving lunch to the athletes and coach
  • Assist in clearing tables
  • Ushering athletes to various food lines

Dinner Servers (Boomers/Irvine Lanes, Newport Dunes, TVT)

  • Serving dinner to the athlete, artists and coaches
  • Assist in clearing tables
  • Ushering athletes to various food lines

Hang Time

Ensure proper running of Hang Time activities.

Hang Time Assistant (JCC and MSC)

  • Assist with activities and projects created by local Hang Time committee.
  • Assist JCCA Shlichim to provide fun, interactive and educational games and other activities for the athlete/ artists who will visit Hang Time when they are not competing.
  • Help athlete/ artists participate in activities, make art projects, play games and do JCC Cares projects.
  • Help to facilitate interaction between teens who come to the Hang Time room and activities.
  • Ensure Hang Time area remains tidy and clean
  • Distribute snacks/drinks
  • Check credentials  - only athletes, artists and coaches allowed

Hospitality

Hotel Information desk supervisors (Wyndham Irvine, Hyatt Newport, Fashion Island Hotel)

  • Staff the hospitality tables in visiting spectator hotels.
  • Create a welcoming and inviting atmosphere for all visiting families and to ensure that individuals have information about the JCC Maccabi Games and the local area.
  • Answer Questions and assist in giving information to spectators about schedules, directions, general information on the OC area and the Games.

Medical

Doctors/Nurses (Various locations – Irvine, Tustin, Newport, Anaheim, Santa Ana)

Qualified medical personnel to work with Medical Co-Chairs to ensure medical attention is available to any credentialed participant and ensure proper care for injured athlete/ artists/artists in regard to participation, etc.

  • Oversee Medical station at a venue or evening event
  • Work with Medical Central and communicate issues
  • Provide first response care at venues and fill out medical reports forms

Opening Ceremonies

Opening Ceremony Helper  (Santa Ana Stadium)

  • Hand out credentials at will call
  • Check credentials at entry points
  • Greet and Direct guests to seats
  • Hand out program books

Junior Maccabi Chaperones (Santa Ana Stadium)

  • Check in Junior Maccabi athlete/ artists (ages 5-11)
  • Supervise and chaperone the kids during the parade of athletes and the ceremony
  • Chaperone them during the Opening ceremonies.
  • Oversee parent pick up of kids at end of event

Operations

Venue Director (Various locations in Irvine and Tustin)

Oversee all aspects of designated athletic venue

  • Liaise with facility staff
  • Set up and clean up venue each day
  • Store equipment and supplies at end of day
  • Ensure all signage is displayed correctly
  • Be key contact person for information and problems that may arise (lack of officials/ volunteers, inappropriate behavior of spectators, security and medical incidents, facility issues, etc.)
  • Troubleshoot issues and report to Operations Chairs any issues to appropriate committee chair
  • Liaise between sports commissioners, medical staff, water and ice, and transportation.
  • Communicate Games scores to Score Reporting Office and ensure hard copy score forms are returned to the JCC at the end of the day.
  • Coordinate Volunteers at venue or with on-site Volunteer coordinator where appropriate

Snack stand supervisors (Various locations in Irvine and Tustin)

  • Set up snack and drink stands at venues
  • Hand out snacks
  • Check credentials. Only distribute to athletes, artists, and coaches
  • Replenish supply tables. Inform Venue Director if supplies run low

Security

Security Assistants (Various locations in Irvine and Tustin):

  • Check credentials and bags at entry points.
  • Observe activities from designated area
  • Reporting any concerns to on-site professional security or law enforcement
  • Crowd control/ushering
  • Traffic control/directing
  • Monitor baggage storage areas.

Transportation

Responsible for supervision of transportation systems and assistance of athlete/ artists and coaches as needed.

Airport Coordinator (LAX, SNA, LGB)

  • Stationed at designated arrivals airport
  • Act as liaison to Arrivals Committee. Communicate delays and issues
  • Greet volunteers and delegation heads
  • Assist in coordinating lost luggage
  • Trouble shoot issues

Transportation Assistant (Various locations in Irvine, Newport and Tustin)

  • Assist athlete/ artists to find and load correct buses
  • Greet athletes/artists during bus unloading. Provide Directions
  • Communicate transportation/bus needs at venue to Transportation Chair
  • Assist in directing traffic
